Data we collect

When you sign in and use the service we may store:

• Username — your Discord username
• Email address — from Discord or your profile
• Discord ID — your unique Discord identifier
• VTC information — company name, TruckersMP link, and your position
• Booking data — event slots you book and related notes
• Notification preferences — how we contact you about bookings

How we use your data

• Authentication — to sign you in securely and keep your session
• Identification — so staff and other bookers can see who holds a slot
• VTC management — to organise partner and convoy affiliations
• Notifications — booking confirmations, event updates, and system messages (including Discord DMs)
• Booking management — to process and track your slots

Data protection & third parties

We do not sell or rent your personal data.

Information is stored on our servers and is only accessible to authorised staff who need it to run the booking system. It is not disclosed to marketing companies or unrelated third parties.

The main exception is Discord, which we use for sign-in and notifications. When you log in, basic profile information comes from Discord under their own privacy policy. TruckersMP event details may also be loaded when an event is linked there.

We use cookies to:

• Keep you signed in securely
• Maintain your session
• Provide essential site functionality

These cookies are required for the site to work. They are not used for advertising.

Data retention

We keep your data while your account is active and as needed to provide the service. If you want your data deleted, contact us via the Contact page and we will handle the request appropriately.
